Update about scholarship rules regarding the covid-19 outbreak - March 19, 2020

Because of the covid-19 situation, many research trips will be difficult to carry out. Here is information about what rules apply regarding travel scholarships.

Scholarship applications

We receive scholarship applications according to our normal practice, but only via e- mail to scholarships@hhs.se. (Please do not send your application to Mojgan Seraji’s personal e-mail address.) If you have recently submitted a paper application, please contact Mojgan Seraji to make sure it has arrived or re-submit it through email.

Since it may be difficult for you to get a signature from your primary supervisor (PhD students) or Head of Department (junior faculty), it is sufficient with an email of approval from that person to scholarships@hhs.se.

Rules for approval and rejection of travel scholarship decisions

• Applications for travels in the near future which will likely be in violation of official travel bans (such as the Foreign Department’s Travel advice) will be rejected

• Applications for travels at a later time which are likely to be made or for which it is difficult to now assess whether they will be possible or not, will be approved.

However, you are advised to not unnecessarily spend the scholarship in ways that cannot be refunded if the trip is cancelled.

Q & A

I want to make a conference trip late this fall, but I don’t know if it will be possible to travel then or not. Can I apply?

Yes, you can apply now and we will process all applications as usual. If the application is approved, you should, if possible, delay the costs that you cannot get refunded. Costs that you have paid and cannot be refunded will be covered by your scholarship, and they will be included in your scholarship quota. I have already received a scholarship, but I will not be able to travel because of the covid-19 situation. What happens with my scholarship?

The costs you have had and you cannot get refunded are covered by your scholarship.

Costs that have been refunded will be deducted from the scholarship and your quota. If the scholarship has already been paid out to you, you must repay refunded or unused amounts to SSE.

If you have not had any costs, or if all your costs have been reimbursed to you, or if the scholarship has not yet been paid out to you, you need to report the cancellation of the

trip to Mojgan Seraji so that the whole scholarship can be reduced from your quota. If you have any questions, please contact Mojgan Seraji.

I have got my money back for travel costs and want to repay my scholarship. How do I do that?

You can repay all or part of your scholarship. Please contact Mojgan Seraji to find out how to do that.

Will a cancelled trip affect my "quota"?

The part of the scholarship that you have requested and received and has not been repaid by you is counted towards your quota.

The part of the scholarship that has not been paid out to you or that you have repaid, is not counted towards your quota.

Example: You have been granted a scholarship of SEK 10,000 and it has been paid to you. You have paid SEK 4,000 for the flight and SEK 2,000 for the conference fee. You manage to get refunded SEK 2,500 for the flight but nothing for the conference fee. You also have SEK 4,000 of the scholarship intended for hotel costs, which you have not yet used. So, you repay SEK 6,500 (2,500 + 4,000) to SSE. The remaining amount of the scholarship is SEK 3,500, and this amount will be counted in your quota.

I have already received a scholarship, but I want to postpone the trip. Can I?
