Mr* Charles Dunlap

Amerioan Dairy Assoolation of Colorado 955-llth St.

Denver, Colorado

The following, Chuolc, is a brief eutliniP of the merchandising activity in

Colorado for January and February 1965 on Kid Pleasin* Ueals.

Major dairy processors include Fairmont, Borden, Meadowgold, and Sealtest. All of these ccxnpanies have committed themselves to promoting K.P.M. and the Dairy Display Contest. Fairmont, Borden, and Sealtest have ordered A.D.A. materials to support this program, ^adowgold has ordered contest entry blanks but has

not yet purchased A.D.A. material. The Kraft Foods District Sales ^gr. has

requested contest entry blanks to promote displays of Kraft Cheese. Swift

Butter and Meadowgold ^utter plan tie-in activity with the Pillsbury Coupon Offer«

The Pillsbury Branch Mgr. will contact both Meadowgold and Swift to co-ordinate

aggressive merchandising activity with the grocery trade outlets. Major food

chains include Furrs, King Soopers, Hed Owl, Safeway and Millers Supermarkets.

A.D.A. Kid Pleasin' Meal in-store merchandising materials have been ordered

for Furrs, King Soopers and T'he Red 0*1 Stores. Millers reacted very

favorably to K.P.M. display contest but have not decided on what course of

action they will tedce. ^afeway made no commiiment whatever and their

copoperation on the Winter Program is doubtful. Associated Grocers, the major independent grocery supplier will communicate K.P.M. to 75© independent grocery stores throughout Colorado and send out 100 K.P.M. advertising mats to

their top advertising retailers. Siscfirely yours.

Executive Gomiaittee of A.D. A* of Qolo.

April 26, 1965 The meeting was called to order by President Ehrlich at

10:E0 a.m. The following were present: Paul Ehrlich,

Vern Atkinson, Don Townsend, A. S. v/hite, Xiavrrence Kertzke, and our manager. Chuck Dunlap, as well as our National

Director, Vie Triblehom. Ed Wiedeman was also present as

a guest.

The mileage expenses were discussed. At present the

Executive Committee gets :jpl0.00 per meeting, plus expenses. A motion was made by Barney »vhite, and seconded by Vic

Triblehorn that we amend our previous motion to read "per diem for all meetings", instead of call meetings. The

motion is to be retroactive to last year to include expenses

for jlohn vno^dis, Barney White and Paul Ehrlich during the

past year.

Invoices for the last four months v^ere reviewed and discussed

with our manager answering questions on several items. Vie Triblehorn gave a detailed report on the National con vention held in Chicago, relating the many areas that are

and will be advertised each month through ii. D. A. in 1965.

Vic reported that Troy Kern from Texas is our new iNiational

President and Emmet Carter from Oklahoma, vice-president.

Manager Dunlap reported that for the next few weeks he will

spend almost all of his time for us. He will be working in

Grand Junction and also the Colorado Springs area.

We will continue to put inserts in DMP Hews and also releases

to all other producers outside the Denver milkshed.

The National AiD^a; meeting for this fall will be held in

Denver at the Cosmopolitan Hotel, the third week of September,

Monday, Tuesday, and Wednesday.

President Ehrlich emphasized the need for each district of

DMP to nominate two or three men to serve as nominees for our

thirty men general board. Tau rest of the Colorado districts

will be given equal opportunity to have men on the board.

Prom these men our nominating committee will pick a list of

nominees.

Meeting adjourned. After lunch Mr. Dunlap showed the film

NOTICE OF WEETING

American Dairy AssociaMon Executive Committee Meeting Tuesday, Apri I 27

10 A. M.

(21)

AA^ERIC;\N DAIRY ASSOCIATION EXECUTIVE COMMITTEE

Aori I 57, 1965

Present were: Paul Ehrl ich, A. S. White, Lawrence Hertzke, Don Townsend, Verne

Atkinson, Bi l l Birkle, and guests were Vic Triblehorn, and Ed Wiedeman.

Mr. Ehrl ich cal led the meeting to order at 10:05 AM, bringing up the question of

"Per Diem" for Executive Committee and Board Members, in order to clarify the

Minutes of the Apri l 15, 19614. meeting where a motion was made that Board Members

and Executive Committee be paid $10,00 ner diem nlus expenses for al l "cal led"

meetings. After some discussion, Mr. White moved that instead of "for al l cal led

meetings" the wording should be changed to "al l meetings". This would include

meetings attended by voting delegates to the Annua I Meeting held in Chicago.

This is to be made retroactive for payment to Mr. John V/oodis for the Fal l Meet

ing in 19614, and for Mr. White and Mr. Ehrl ich who attended the Spring Board

Meeting in Chicago. Mr. Birkle seconded the motion, and it passed unanimously.

The next item of business was the checking of invoices for the first four months

of 1965. There being no question regarding expenditures, it was the concensus

by the Executive Committee that they were in order.

Mr. Vic Triblehorn, National Board Member, was cal led on for his renort on the

latest meeting in March. He gave a comnlete resume of the various action taken

and outl ined the nians for I966.

Mr. Ehrl ich and Mr. White, the delegates, said they were impressed by the business

l ike atmosohere throughout the meetings.

Mr. Dunlap, State Manager, was asked to comment on his work un to date. Not much

time has been spent up unti l Anri I on ADA oromotion or membership work. This

problem has been brought to the attention of the Colorado Dairy Products Association

group, and it was their action that more time should be snent with the ADA

namely, in membership and Dairy Products oromotion. Mr. Dunlap also renorted

that Mr. Peterson, the national membership man for this region, would be in

Denver of May I4, and that they were immediately taking off for Grand Junction.

The puroose of this trip is to find out the attitudes of the various nrodu cfers of the Western Colorado Coop Board toward the ADA program.

Other items talked about and reported on were nroducer inserts, check inserts,

and recipe booklets.

Mr. Dunlap also reported on the State Manager Meetings that he attended in Chi

cago in March.

It was also cal led to the attention of the Committee that the ful l Board meeting

was to be held in Denver, Colorado the third week of September, and it would take the flooperati on of the entire group nlus al l of the Board members to make this a

successful meeting. There wi l l also be some exoense involved in entertaining the

guests.

Meeting adjourned at I PM.

EXECUTIVE COMMITTEE MEETING MINUTES

The Executive Committee Meeting of the ADA of Colorado was held on October I9 In the

Association office witl^r. Ehrllch, Mr. White, Mr. Atkinson, Mr. BIrkle, Mr. Townsend,

Mr. Hertzke, and Mr. ReiiL and Mr, Dunlap, State Manager present.

The minutes of the last Ex^utlve ^'^eetlng were read and aoproved. Mr. Dunlap and Mr,

Ihrllch submitted letters tlKt they had received regarding the national Board Meeting

held In Denver this past Sept\mber, Mr. Dunlap then made a report on the budget allowed

for our part of the meeting stating only #991 ,i;0 out of the #1500 that was appropriated

was expended. This amount does\not Include expenses of the Executive Board and Board of

Directors travel and per diem wh\attended these meetings.

Mr. Dunlap then reported on the Dal^ Society International and ADA consolidation and

reading to the Committee the resolutions recently passed by the National Milk Producers

Federation. \

fhere was also some discussion regardi n^^he Federal Class I basic program which was

Included In the Farm Bil l recently passedNby Congress.

Mr. Ehrl lch then brought up the request for\endlng the Weld County

Club Dairy

Judging Team to Chicago with ADA assuming

tor financing this trip. It was

decided that we would underwrite

♦500.00

for tPlJs year only with the understanding

that these four l^H Club-ers be used judlclousi y\n the promotion of mi lk and Dairy

products anyplace within the state of Colorado di\ing the next year. It was moved

by Bi l l RelW'and seconded by Bi l l BIrkle that thi^^l lowance be made. It was voted

unanimously.

\

Mr. Ehrl lch then brought up the question of al lowance^f expenses in the amount of

♦32,1+0

for Vic Tribelhorn for a trip to Denver prior t^the national board meeting

of ADA In September. After examining the By-laws and Mi^tes of April 26 where a

clarification was made to set expenses and per diem on aV meetings instead of

"cal led" meetings, the interpretat ion was that this was no\a meeting as no

aopolnt-ment was set up prior to the day of Mr. Tribelhorn's cal l, ^d that a letter was

sent by the State Manager of August 30 informing him after c^^ulting with people

close to the ADA-DSI consolidation proposal of their desires f^ his action. It

was also brought out that Mr. Tribelhorn was a very devoted ADaNdIrector, and had

attained the respect of many people on the national level. The \estion was then

asked regarding al lowance of this bi l l. Mr. Birkle moved that thri l l be disal lowed.

Mr. White seconded the motion, and the vote was five to one in favo\of disal lowance.

Mr. Dunlap was then instructed to so notify Mr. Tribelhorn.

\

The question was then brought up pertaining to Mr. Tribelhorn's attendee at the Ex

ecutive Committee's meetings . Mr. White moved, and Mr. Atkinson secon^d that Mr.

Tribelhorn be informed by letter of any of our actions that pertain to na^^nal policy.

Passed unanimously.

Denver, Colorado

Dear Mr* DimLapt

What is the future of the Colorado Beef Council? This matter was thoroughly disoussed at the recent meeting of the Colorado Beef Council, siiuse the Colorado Beef Board has been established*

It was the xmanimous feeling of those present at the Beef Council meeting that the Council should be maintained on an active basis and serve as an advisory council to the Colorado Beef Board*

The responsibility of tiie Colorado Beef Board will be to determine and direct Colorado's beef promotion program and the expenditure of funds* As it is now planned, the Colorado Beef Board will contract with certain organizations,

departments, and/or agencies for beef promotion work*

Of course, the Beef Board nmnbers are appointed by the Governor and is composed of individuals representing the various se^ents of our iiKluslry as set forth

in the beef prwnotion statute*

It is anticipated t^t the Beef Council will be invaluable in an advisory capacity to the Beef Board and will assist in bringing together representatives of the

agencies and organizations that have a direct interest in the promotion of

beef* Ihese representatives would be a liason between the Beef Board and their

respective groups*

Also, the Beef Council could give pertinent advice as to the advantaiges and disadvantages, in their opinion, in relation to programs and contracts that

would be under consideration by the Beef Board*

These are the reasons why it was decided at the last Beef Council meeeting to

ig>-date the Council's membership list and again hold regular Beef Coxneil meetings*

WILL YOU PL3ASB FILL OUT THE ENCLOSED FORM AM) RETURN THE COMPLETED FORM TO THIS

Minutes - Executive Committee Meeting

November 30, 19^3

The Executive Committee of American Dairy Association of Colorado met at 10 AM, Tues

dent Paul Ehrl ich, Bi l l Birkle, Lawrence Hertzke, A. S. V\/hite, Bi l l Reed, Verne At

kinson, and the State Manager, C, E. Dun lap.

The minutes of the October 20^"^ meeting were sent to al I members and were not read

at this meeting. Mr. Birkle asked that his motion of October 20, I965 be corrected

to read al low expenses" instead of "disal low". This correction in these minutes wi l l refer to the motion made in October 20, I965 Executive Committee Minutes.

Mr. Birkle then made the motion, seconded by Verne Atkinson, that the expenses sub

mitted by Vic Tribelhorn be al lowed. Passed 5- 1.

It was suggested that the Manager mai l to al l Board Members a copy of the minutes

of each Executive Committee meeting.

A letter from the I4.-H Club Foundation was read. A request for '020.00 was asked for

sending a U-H Club judging team to Waterloo next year - I966. It' was the feeling

that the present board could not commit any future boards. A motion by Atkinson,

seconded by Birkle that ADA of Colorado wi l l not appropriate their funds for sending

i+-H Club judging teams on trips passed 5-0.

Mr. Dun lap reported on the By-Laws. The Committee of Mr. Reed, Mr. Hertzke, Mr.

Ehrlich, and Mr. Dunlap had met on November 5/ 19^5 snd discussed the changes recom

mended. There was no definite decision resolved other than the question of District

Committees. Mr. Davidson of Denver Mi lk Producers had conferred with Mr. Dunlap

about the responsibi l ity of his (Denver Mi lk Producers) Board on authorization of

monies to ADA of Colorado. The By-Laws Committee was asked by the Executive Com

mittee to meet:' with Mr. Davidson to clarify these problems and to work out an arranovi

ment of better understanding on election of Board Members from Denver Mi lk Producers" Districts.

The question of appointing a nominating committee was discussed. Lawrence Hertzke

moved that the item be tabled. Passed unanimously.

The Annual Meeting of ADA of Colorado was tentatively set for February 5, I966 at the

Continental Denver Motel.

The meeting adjourned and a meeting of the Executive Committee met in an Executive

Pres. Ehrlich for their approval.

In discussing our decision of hir)i(^ing our full time

for 3 day Convention in December —Recommended that we reconsider our proposal and continue together one more year.

A suggestion was made that our board meet with their board in the

American Dairy Association Minutes - By-Laws Committee Meeting

Dec. 8, 1965 - 2:30 P.M.

The By-Laws committee, Bill Reed-Chairman, and Lawrence Hertzke,

met with Chet Davidson and Don Townsend of D.M.P. Also in attendance

were Pres. Paul Ehilich, Manager Chuck Dunlap and our regional director

of A.D.A., Mr. Peterson.

We presented to Chet Davidson the four point plan that was

^

recommended at our Nov. 30 meeting and invited his comments and anpijfsal.

Mr. Davidson did not feel that he wanted to give too much comment on

the four points that were brought out to him. His only comment being

that he thought it was pretty hard for one manager to serve two

separate organizations.

After a length'y discussion, Mr. Davidson advised us that the

D.M.P. Rv-Laws reguire the D.M.P. Board to be responsible 'for all

monies and there was no set amount for any segment of advertising or nromotion.

Chet Davidson said D.M.P. would like an account of how all monies are going to be spent for the coming year as w411 as a detailed account

of how the money was actually spent. This should be in a form of an

annually report to the D.M.P. Board.

Meeting was adjourned at '+:30 P.M.
